You’re personable and approachable with fantastic listening skills, but you’re also a planner with ninja-level organizational abilities and a knack for managing multiple priorities and deadlines. What you’ll be doingPre-event support Set up and manage online registration platforms Handle attendee inquiries and support through email, phone, and chat Ensure accurate data entry and maintenance of attendee information in databases Draft and send out invitations, confirmations, reminders, and event updates Serve as the main point of contact for delegates, providing timely and professional responses Support travel, accommodation, and transportation for delegates as needed, along with the project manager and logistics team Prepare and distribute event materials, such as badges, itineraries, and welcome packs On-Site Event Support Oversee the registration desk and manage delegate check-in processes Provide assistance to delegates during the event, resolving any issues that arise Coordinate with event staff and volunteers to ensure a smooth delegate experience and thatall attendees needs are met on-site. Post-event Collect and analyze delegate feedback to improve future events. Manage post-event communications, including thank-you notes and follow-up surveys. Prepare reports on delegate attendance, engagement, and feedback for internal review Must haves Communication Skills: Excellent verbal and written communication abilities in English and Spanish Attention to Detail: High level of accuracy in managing delegate information and logistics. Customer Service: Strong interpersonal skills and a customer-focused approach. Technical Proficiency: Experience with event management software like Cvent and databases on excel. Problem-Solving: Ability to quickly address and resolve attendee issues. Team Collaboration: Ability to work effectively with various teams and stakeholders Previous Experience: At least 2-3 years of experience in event management or a related field such as hospitality andtravel Nice to haves A degree in Event Management, Hospitality, Marketing, or a related discipline is preferred Fluency in additional languages (besides English and Spanish) What we bring to the table A dynamic and inclusive company culture where we work really hard to have the right people doing the right job.
